Privacy policy

Last Updated: 25th October 2026

Simple Version: We collect the information you need to use our invoicing service. We keep it safe. We don't sell it to anyone. You can close your account and delete your data yourself at any time, in the app or from Account Settings on the website - no need to contact anyone. Closing the account starts a 30-day grace period, after which we delete it, apart from the financial records we keep (see section 4). If you subscribed through Apple, closing your account does not cancel that subscription — cancel it in your Apple Account subscription settings as well, or Apple will keep charging you.

1. Who we are

Company: GK Tools Ltd, a private limited company registered in England and Wales (company number 16434833)
Registered office: 483 Green Lanes, London, N13 4BS, United Kingdom
ICO registration: ZB899192
Website: invoicer.gk.tools
Contact: support@invoicer.gk.tools

GK Tools Ltd is the data controller for the personal data described in this policy. We provide simple invoicing software for tradespeople. This privacy policy explains how we handle your personal data in accordance with UK GDPR and Data Protection Act 2018.

For the client details you enter into Invoicer (your customers' names, addresses, and other information), you are the data controller and we act as your data processor — we process that data only to provide the service and on your instructions. See our Terms of Service for the full processor terms.

2. What information we collect

Account Information

Customer Information (That You Enter)

Payment Information

You can subscribe in two places, and what we hold depends on which one you used.

If you subscribed on this website, Stripe takes the payment:

If you subscribed inside the iPhone or iPad app, Apple takes the payment and we never see your card at all. What we receive and store against your account is:

We keep those so we can tie the purchase to your Invoicer account and know whether to let you in. We do not receive your Apple Account name, your card, or your address from Apple. Apple handles your payment details under its own privacy policy.

Technical Information

3. Why we collect this information

We collect your information for these reasons:

Legal Basis: We process your data under contract (running your account, sending your invoices and quotes, taking your subscription payment), legal obligation (keeping financial records required by UK tax law), legitimate interests (keeping the service secure, verifying a mobile number at signup when one is given, checking for fake or abusive signups, and understanding how the service is used), and consent (the optional in-app assistant, and Google Analytics cookies on our public pages — you can withdraw either at any time).

We do not send marketing emails, so there is no marketing consent to give or withdraw. If that ever changes we will ask you separately first, and it will have a real unsubscribe of its own.

4. How long we keep your information

Three different things can happen, and they have different timings. Cancelling a subscription is not the same as closing an account.

We run automated data cleanup processes to ensure we don't keep data longer than necessary.

How to close your Invoicer account and delete your data

You can close your Invoicer account yourself at any time, from the app or the website. You'll be asked for a code we email you, to prove it's really you.

Your account switches off straight away. You have 30 days to change your mind. After that we permanently delete your sign-in details, quotes, your logo and stored files, assistant conversations, and any customers who have no invoices. Invoices and payment records — with the business and customer details printed on them — are kept for 7 years from their own date, as described above, and then deleted. A subscription you pay for on the website is cancelled for you. If you subscribed through the App Store or Google Play, cancel it there too, so you're not charged again.

5. Who we share your information with

We only share your information with these trusted third parties, and each one handling data on our instructions is required by our agreement with them to protect your data to the same standard set out in this policy — they may not use it for anything beyond what is described below. A few of them — payment providers in particular — also use some information for their own legal, security and regulatory duties, which they decide themselves rather than on our instructions; where that is the case we say so, and their own privacy notice explains it.

Stripe (Payment Processing — website subscriptions)

We use Stripe to process website subscription payments securely, including card payments and UK Bacs Direct Debit. They handle your payment details directly - we never see your full card number or bank account details. Stripe also uses some information for its own legal, security and fraud-prevention duties, which it decides itself rather than on our instructions. View Stripe's Privacy Policy

Apple (Payment Processing — App Store subscriptions)

If you subscribe inside the iPhone or iPad app, Apple takes the payment through your Apple Account. Apple tells us the subscription identifiers, the plan, the expiry date and the status — and nothing else about you. We send Apple the signed receipt from your device so it can confirm the purchase is genuine. Apple is responsible for your payment details, your renewals and any refund. View Apple's Privacy Policy

Google AI (Personalized Business Insights)

We use Google's Gemini AI to generate personalized daily business insights for you. For this feature only, we share aggregated, non-sensitive business statistics (revenue totals, invoice counts, client counts, location, business type) — not client names, email addresses, phone numbers, invoice line items, or payment details. We send only the aggregated statistics listed above; we do not permit this data to be used for model training under our API terms, and we don't store the prompts beyond generating your insight. View Google's Privacy Policy

Google AI (Invoicer Assistant)

Invoicer also includes an in-app assistant you can chat to. This is a separate feature from the daily insights above, and it shares considerably more with Google's Gemini AI, because it needs to know about your business in order to answer you.

When you send the assistant a message, we send Google:

We do not permit this data to be used to train Google's models under our API terms. If you would rather Google did not receive any of this, simply do not use the assistant — every other part of Invoicer works without it.

We also keep a log of assistant conversations (your messages, the assistant's replies, any action it took on your behalf, and the IP address the message came from) so we can investigate problems and misuse. Those logs are visible to us as the operator of the service, and are deleted in line with the retention periods in “How Long We Keep Your Information” above.

Google AI (Reading an invoice you upload)

If you choose to add an invoice or quote you already have — by taking a photo of it or uploading a PDF — we send that document to Google's Gemini AI so it can read the details off it for you. This is a separate feature again, and you only ever use it by deliberately choosing a file.

Because it is a picture of a real document, what we send includes everything printed on it. In practice that means:

We do not permit this data to be used to train Google's models under our API terms. The document is sent to be read and is not stored by us afterwards — we keep only a record that a document was read, when, and what it cost us to do so, never the document or the details taken from it. Nothing is saved to your account until you have checked what we read and pressed save.

If a PDF is uploaded we convert it to an image first, and send only that image. If you would rather Google did not receive any of this, do not use this feature — you can always type the details in yourself, and every other part of Invoicer works without it.

Google Maps Platform (Address Suggestions)

Google Places provides address suggestions on business-profile and client forms. Invoicer does not contact Google just because you open one of these forms: the provider loads only after you focus or otherwise interact with the first address field. From then on, the address text you type is sent from your browser to Google so it can return matching addresses. This can include your business address or a client address, along with normal technical data such as your IP address and browser type. The address you choose or finish typing is then saved in Invoicer when you submit the form. View Google's Privacy Policy

Apple Maps (Address Suggestions in the iPhone and iPad App)

In the Invoicer app for iPhone and iPad, address suggestions come from Apple Maps instead of Google. Nothing is sent until you type at least three characters into the first address field of a client or your business profile; from then on, the text you type is sent from your device to Apple so it can return matching addresses, along with normal technical data your device sends to Apple's services. The address you choose or finish typing is then saved in Invoicer when you save the form. View Apple's Privacy Policy

Sign in with Apple (iPhone and iPad App)

If you choose Sign in with Apple in the Invoicer app for iPhone or iPad, Apple shares three things with us: a private identifier that Apple makes for you and Invoicer only, your name (the first time only), and your email address — or, if you choose to hide it, an Apple relay address that forwards our emails to you. We use them only to sign you in and to set up your account. If you do not already have an Invoicer account and Apple has not confirmed your email address, you finish signing up the same way as everyone else: with a code texted to your mobile number if you give one, or emailed to you if you do not. We do not receive your Apple password or anything else from your Apple Account. When your account is deleted at the end of the 30-day grace period, we remove the Apple identifier from it. View Apple's Privacy Policy

Google reCAPTCHA (Login and Signup Security)

Google reCAPTCHA runs on customer login, administrator login, and signup to help distinguish legitimate requests from automated abuse. Its script may process normal browser, device, and interaction information under Google's terms. Our reCAPTCHA API call contains our public site key and a fixed action name; we do not include your email address, name, or login code in the reCAPTCHA API call. We use the result alongside our own rate limits and passwordless verification, not for advertising. Google Privacy Policy · Google Terms of Service

Email Service Provider

We use email services to send you login codes and messages about your account, and to send your invoices and quotes to the customers you choose. For that second job the provider necessarily handles your customer's email address, the message and the attached document. We act as your processor for your customers' information, on your instructions — see section 1. If you have received an invoice from a business using Invoicer and want to know what that business holds about you, please contact the business named on the invoice; they decide, and we will help them answer you.

SMS Provider

We use an SMS provider to deliver the code that verifies your number if you give one when you sign up, and login codes if you cannot get at your email. They process your mobile number only on our instruction, and only to deliver that message. Our provider is Esendex (formerly Voodoo SMS), run by Commify UK Limited. Esendex keeps the content of a message for 6 months, and the record of sending it, including the mobile number it went to, for up to 2 years.

Google AI (Checking for Fake Signups)

When somebody registers, we run automated checks to spot fake or abusive signups. If a registration looks suspicious on our own checks, we send the name entered on the form and the part of the email address after the @ (for example gmail.com) to Google's Gemini AI to help judge whether it is genuine, and its answer can contribute to a signup being refused. Nothing else about you is sent, and this happens only for registrations our own checks have already flagged. Our lawful basis is our legitimate interest in preventing abuse of a free trial. If your signup is refused and you think that is wrong, email us and a person will look at it.

Web Hosting

Invoicer runs on secure servers in the United Kingdom, provided by our hosting partner. They have access only for technical maintenance of the servers themselves.

Who Actually Handles Your Data

These are the companies we use, what each one does, and where it is. We keep this list current. If we add or replace one, we will say so here, and business customers can object under the processor terms in section 7 of our Terms of Service.

If you would like a copy of the contractual safeguards covering any transfer outside the UK, email us and we will send it, with commercially confidential parts removed.

Important: We will never sell your data to anyone. We will never use it for advertising. We only share what's necessary to provide the service.

6. Your rights under UK GDPR

You have these rights over your personal data:

To exercise these rights: Email us at support@invoicer.gk.tools. We'll respond within one month.

7. How we protect your information

We take security seriously and follow industry best practices:

8. Cookies and tracking

Essential Cookies

These cookies are necessary for the website to function and cannot be switched off:

Analytics — Matomo (self-hosted)

We use Matomo, a self-hosted, open-source analytics platform, to understand which parts of Invoicer are useful and where people get stuck. This covers public marketing and shared client-document pages, plus ordinary signed-in app pages. Matomo runs entirely on our own UK-based infrastructure — this analytics data is not shared with third parties or sent abroad.

The data we collect is limited and anonymised:

We do not send Matomo a user ID, account ID, email address, client identity, invoice or quote number, or anything you type. Admin pages and any session where an administrator, helper or impersonation is acting inside somebody else's account are excluded completely, so support activity cannot be mistaken for customer behaviour.

Matomo does not use analytics cookies and we do not attach an account-level identifier. We respect your browser's "Do Not Track" preference — if it is enabled, you will not be tracked. You can also opt out below.

The iPhone and iPad app

To help us fix problems and make the app better, the app sends:

We also time how long our server takes to answer the app. None of this is stored with your account, name, email, clients, invoices or anything you type, and it stays on our own UK infrastructure. You can turn it off in the app: Account → Help improve Invoicer.

Analytics — Google Analytics (consent-based)

We also use Google Analytics on our public marketing pages, to understand visitor numbers alongside Matomo. Unlike Matomo, Google Analytics uses cookies and only runs if you agree — you'll see a short banner asking for your permission the first time you visit. It only loads after you say yes, and never on your signed-in dashboard.

If you agree, Google Analytics collects:

You can say no when the banner first appears, or change your mind any time using the "Cookie Settings" button at the bottom of any public page. Saying no clears any Google Analytics cookies already on your device.

Opting out

You can opt out of Matomo on this device using the box below — your preference is stored locally in your browser. For Google Analytics, use the "Cookie Settings" button described above instead.

Tracking is on for this browser. Tick to opt out.

Managing Cookies

You can also:

9. Children's privacy

Invoicer is for people running a business, and for anyone helping them with it, such as a family member. You need to be 13 or over to use it. We don't knowingly collect information from anyone under 13. If you believe we've collected data from a child under 13, please contact us immediately.

10. International data transfers

Your data is stored on UK servers. Some third-party services we use (Stripe for payments, Google for AI insights, address suggestions, security checks and analytics, and Apple for address suggestions in the iPhone and iPad app) may process data outside the UK — see the full list in section 5. Where they do, the transfer is covered by safeguards recognised under UK GDPR: the UK Extension to the EU–US Data Privacy Framework where the recipient is certified under it, and otherwise the ICO's International Data Transfer Agreement or its Addendum to the EU Standard Contractual Clauses. Email us if you want a copy of the safeguards that apply to a particular transfer, and we will send it with commercially confidential parts removed.

11. Changes to this policy

We may update this privacy policy occasionally. If we make significant changes, we'll email you before they take effect and update the "Last Updated" date at the top. This policy explains what we do; it is not a consent form. Where a change actually needs your permission — a new use that relies on consent — we'll ask you for it separately, and carrying on using Invoicer is not us taking that as a yes.

12. How to contact us

If you have any questions about this privacy policy or how we handle your data:

Email: support@invoicer.gk.tools
We aim to respond promptly to all enquiries.

13. How to complain

You have the right to complain to us first. If you're unhappy with how we've handled your data, email support@invoicer.gk.tools or write to our registered office. We'll acknowledge your complaint within 30 days, look into it without undue delay, keep you posted, and tell you what we've decided and why.

You don't have to come to us first, and you can go to the regulator at any point — including if you're not happy with our answer:

Information Commissioner's Office (ICO)
Website: ico.org.uk/make-a-complaint
Phone: 0303 123 1113

Bottom Line: Your data is yours. We're just looking after it while you use our service. We keep it safe, use it fairly, and will delete it if you ask (after meeting our legal obligations).
